Indian businesses have more software choices than ever: accounting packages, billing apps, stock tools, GST utilities, payroll services and systems that try to do everything. Choosing the wrong one costs more than the subscription. It costs months of setup, staff who give up and data stuck in a system nobody uses.
Choose software the way you would choose a key supplier: by what it does for your work, how reliable it is and what it costs in full.
01Start with your work
Before looking at any product, write down how your business runs today:
- What you sell
- and how: counter sales, dealer orders, project billing, services
- Your registers
- customers, suppliers, stock, orders, staff, jobs
- Who uses them
- the owner, a counter person, an accountant, godown staff, salespeople in the field
- Where
- one shop, a godown and an office, several branches
- What hurts most
- dues not followed up, stock mismatches, GST returns taking days, nobody knowing today's sales
The software that fits is the one that fixes your top three problems with the least change to how your staff work.
02What to check
Fit for your trade
A tile dealer needs items by design, size and box. A CA firm needs clients, services and a filing calendar. A garment maker needs sizes and colours. Software built for "all businesses" may need weeks of setup to fit yours. Look for one that knows your trade's registers and terms.
GST done right
- Tax invoices with CGST and SGST or IGST worked out from the states
- HSN codes and rates on items
- Numbered invoice series for the financial year
- Credit notes for returns
- A monthly GST summary and the data for GSTR-1
- Export invoices, if you export
The whole flow
Check that a sale updates stock, customer dues and GST without re-entry, and that a purchase does the same in reverse. Separate tools for billing, stock and accounts mean typing the same data twice.
Works where your people work
Can the counter person bill on a tablet, the owner check dues on a phone and the accountant work on a laptop, all on the same data? Is it readable on a phone without sideways scrolling?
Access and control
Separate logins, roles and approvals. See roles and access.
Data and security
Where is your data stored? Can you get it out? What happens if you stop paying? How is it backed up? How does the provider meet the DPDP Act? See the DPDP Act for small business.
AI, if offered
What does it do, and does it wait for your confirmation before saving anything? See using AI safely.
03Questions to ask every vendor
- Show me how I would make my most common invoice, every step of it.
- Show me how I would see who owes me money today.
- How do I move my existing data in, and what can you bring in for me?
- What does it cost per month, for how many users, and what is extra?
- What happens to my data if I leave?
- Which features are live today, and which are planned? Ask to see each one working.
The last question matters. Software sales often blur what exists with what is coming. Buy on what you can see working.
04Count the full cost
| Cost | What to include |
|---|---|
| Subscription | Monthly or yearly fee, per user or per business |
| Extras | Additional users, branches, modules, storage |
| Setup | Data entry, item lists, opening balances, any vendor fees |
| Hardware | Tablets, printers, barcode scanners |
| Training | Staff time in the first month |
| Switching away | Time to move data out if it does not work |
A ₹1,500 a month tool that needs a ₹40,000 setup and two weeks of staff time costs far more in the first year than its price suggests. A tool that saves the accountant three days a month at GST time pays for itself quickly.
05Test it with your own work
Use the software with your own items, customers and a week of real transactions before you commit. Have the people who will use it every day try it, along with the owner. Watch for:
- How long it takes to make an invoice at the counter
- Whether staff can find what they need without help
- Whether the figures match what you expect
06Ask about support
When something goes wrong at 7 pm on the last day of the month, who helps? Ask how support works: by phone, chat or email, in which languages, on which days, and how fast they reply. Speak to two or three existing customers of a similar size if the vendor can put you in touch. A product that works well with poor support can still cost you a day's billing.
07Think about the next three years
Will it still fit with twice the staff, a second branch or an online store? Moving systems is hard work, so choose one that can grow with you, but do not pay for features you will not use for years.
08For larger businesses
A manufacturer with 200 staff and several plants should involve the heads of accounts, purchase, stores and sales in the choice, write down the requirements and test the shortlisted systems against the same real scenarios. Ask for references from similar businesses and speak to them.
MatruOS plans are priced at ₹399, ₹999, ₹1,999 and from ₹4,999 a month including GST, and you can start by describing your business in one sentence with no GSTIN or Udyam number needed. See pricing.
