AI terms

What the AI team may do, what waits for your approval, and where responsibility sits.

Code Colonies Private Limited8 sections4 min read

In shortOur plain summary to help you find your way. It is not part of the policy; the full text below is what applies.

  • These terms cover every AI feature: the AI team, Muni, Auto mode, assistants, drafts, summaries and automations.
  • AI outputs can be wrong and can look confident when they are. Check them in proportion to what depends on them.
  • Moving money, messaging customers or the public, deleting, signing and filing wait for a person to approve.
  • A rule you set to run without fresh approval is your standing instruction, and actions under it count as approved by you.
  • No output is legal, tax, accounting or other professional advice.
  • What you put in is your data. No outside AI provider may train its models on it.

These AI terms apply to every AI feature of MatruOS: the AI team and its members, Muni, Auto mode, voice and chat assistants, suggestions, drafts, summaries, translations, figures and automations ("AI features"). They form part of the Terms of service, and words defined there have the same meaning here.

Section 1What the AI features are

  • AI features are MatruOS's own AI agents, built on machine-learning models run by the providers listed on the Sub-processors page. They produce outputs by prediction, not by understanding or checking facts.
  • Outputs can be wrong, incomplete, out of date, biased or inconsistent, and can look confident when they are wrong. The same request can give different outputs.
  • AI features act only within the permissions of the person or role they work for, and only on the data in your account.

Section 2Who decides

Approval
Actions that move money, send messages to customers or the public, delete records, sign documents, or file with any government authority wait for a person in your team to approve them. The approval screen shows what will happen and why.
Standing instructions
If you or your team set a rule for an action to run without a fresh approval (for example in Auto mode, an automation or a role's limits), that rule is your standing instruction, and every action taken under it is treated as approved by you.
Your responsibility
Every output you or your team approve, use, rely on, publish or send, and every action taken under an approval or standing instruction, is your decision. You are responsible for it and its consequences, as if a person in your team had done it, whoever or whatever drafted it.
Checking
Before relying on an output, check it in proportion to what depends on it. Check figures, tax, legal, employment, medical and financial content, and anything sent to a customer, authority or the public, with particular care.

Section 3Not professional advice

No output, reminder, calculation, draft or suggestion of an AI feature is legal, tax, accounting, audit, medical, financial, investment or other professional advice, and no AI feature is a chartered accountant, advocate, doctor or other professional. Using an AI feature creates no professional relationship with MatruOS. Consult a qualified professional before acting on anything important.

Section 4What you must not do with AI features

  • Use them for anything the Acceptable use policy forbids.
  • Use them to make decisions with legal or similarly significant effects on a person (such as hiring, dismissal, credit, insurance, pricing based on a person's characteristics, or access to essential services) without meaningful review by a person.
  • Create deepfakes or content that shows a real person doing or saying something they did not, or remove or hide the "made with AI" labels MatruOS adds.
  • Try to make an AI feature break its rules, reveal its instructions, or reach data or actions it is not permitted to.

Section 5Disclosure to others

  • When an AI member speaks to someone on a call, in chat or by message, it says that it is an AI. Do not disable or hide this.
  • Content made or materially changed with AI that you publish is labelled as AI-made where the law requires, including the Information Technology (Intermediary Guidelines and Digital Media Ethics Code) Rules 2021 as amended for synthetically generated information. Do not remove the label.
  • If you use AI features to deal with people in the European Union, you are responsible for any transparency duty that applies to you under the EU Artificial Intelligence Act (Regulation (EU) 2024/1689).

Section 6Your inputs and outputs

  • What you put into an AI feature is your data under the Terms of service, and is processed under the Data processing addendum. No outside AI provider may train its models on it.
  • As between you and us, outputs made for you in your account are yours to use in your business, subject to these terms and to any rights of others. We give no assurance that an output is original, free of others' rights or capable of copyright protection, and other customers may receive similar outputs.
  • MatruOS's AI instructions, prompts, roles, playbooks and operating models are ours, as section 11 of the Terms of service sets out.

Section 7No liability for outputs

To the maximum extent the law permits, and as section 15 of the Terms of service sets out, we are not liable for any loss arising from an output, or from an action that you or your team approved or set up to run automatically. Our total liability for AI features is within, and not in addition to, the cap in that section.

Section 8Changes

AI models, providers, limits and features change often. We may change, replace or withdraw any AI model, provider or AI feature at any time, and outputs may change as a result.
