UPI is now the most common way small Indian businesses get paid. A paan shop in Varanasi, a dealer in Ludhiana and a CA firm in Pune all receive money the same way: a customer scans a QR code or enters a UPI ID, and the money lands in the bank account in seconds.
The payment is easy. Keeping track of it is where many businesses slip. Money arrives on a phone, the owner sees a notification, and the payment is never matched to the bill it was for.
01Use a business QR code
A personal UPI ID works for receiving money, but a merchant QR code from your bank or payment provider is better for a business:
- Payments show your business name,
- which reassures customers.
- Payments are tagged as merchant payments
- in your bank statement, which makes them easier to separate from personal transfers.
- You get a sound box or app alert
- for every payment, which helps at a busy counter.
- Money goes to your current account,
- keeping business and personal money apart.
Print the QR code on your invoices and display it at the counter. For a dealer who pays on credit, a QR code on the bill removes one more excuse to delay.
02What UPI costs a merchant
As of October 2026, UPI transfers between individuals are free. For payments to merchants, the government announced a framework on 15 September 2026 under which:
- Merchant payments up to ₹2,000
- carry no merchant discount rate (MDR).
- Small merchants
- receiving up to ₹1 lakh a month through UPI QR codes in the small merchant category continue with zero MDR.
- Merchant payments above ₹2,000
- carry an MDR of 0.4 percent, capped at ₹300 for payments of ₹75,000 and above.
- Some sectors,
- including railways, telecom, insurance, fuel and agricultural inputs, pay a flat ₹5 a transaction above ₹2,000.
The MDR is paid by the merchant, through the bank, and banks have been told to make sure merchants do not pass it on to customers. Check your bank's current terms, since the rate applies to your account through your bank or payment provider.
What this means in rupees
A Jaipur furniture shop takes a ₹48,000 UPI payment for a sofa set. At 0.4 percent the MDR is ₹192. A ₹1,50,000 payment for a dining set would be capped at ₹300. For a high-value sale, compare this with what a bank transfer costs you, and price accordingly.
03Payment links and collect requests
A QR code works when the customer is in front of you. For a dealer in another town, two other options help:
- A payment link
- sent with the invoice, which opens the customer's UPI app with the amount filled in.
- A collect request
- sent to the customer's UPI ID, which they approve in their app.
Both reduce the chance of a wrong amount, and both leave a reference you can match to the invoice. Ask your bank or payment provider which of these comes with your merchant account, and what each costs.
04Daily limits
UPI has transaction limits set by NPCI and by your customer's bank, generally ₹1 lakh to ₹5 lakh depending on the category of payment, as of October 2026. A customer paying a large bill may hit their limit and need to pay over two days or by bank transfer. For orders above ₹1 lakh, give your bank account details on the invoice as well as the QR code.
05Match every UPI payment to a bill
This is the part that matters for your books. Every UPI payment should be recorded against a customer and, where possible, against a specific invoice.
- Ask for the UTR or reference number when a customer says they have paid. It is the 12 digit number in their UPI app.
- Record the payment the same day, with the date, amount, mode (UPI) and the reference.
- Set it against the invoice it pays. If it is a part payment, the invoice stays open with the balance.
- At day end, check the total of UPI payments you recorded against your bank app or sound box total for the day.
Payments that do not match any customer go on a short list to check the next morning. Usually it is a customer paying from a family member's phone, which shows a different name.
06Common problems and how to handle them
- "I have paid" but nothing arrived
- Ask for a screenshot showing the UTR. Payments sometimes show as pending at the customer's end. Wait for the bank to settle before handing over goods.
- Fake payment screenshots
- Rely on your own bank alert or sound box, never only on the customer's screen.
- Refunds
- Refund to the same UPI ID the money came from, and record the refund against the customer.
- Staff phones
- Do not let staff collect business payments on their personal UPI IDs. All payments should go to the business QR code.
07For larger businesses
A distributor receiving 300 UPI payments a day cannot match them by hand. At that size, ask your bank for a daily statement with payer details, use a separate QR code for each counter or branch, and give one person responsibility for matching payments each morning. Separate QR codes also show which counter or salesperson collected what.
08Cash, UPI and the law
UPI payments leave a clean trail, which helps with GST and income tax records. Cash receipts of ₹2 lakh or more from one person in a day are not allowed under income-tax law, so large payments are better taken by UPI or bank transfer. This is general information and not tax advice; ask your CA about your situation.
In MatruOS, you record a payment by cash, UPI or bank against the invoice, and the invoice then shows Paid with a ₹0 balance.
