Advances, set against the invoice

What this solves

Money is lost between the sale and the payment

01Today

Invoices with the wrong tax head, payments recorded against the wrong bill and advances nobody remembers. The result is GST notices, disputes with customers and dues that grow unnoticed.

02In MatruOS

MatruOS makes the GST invoice from the customer and the items, records every payment against the bill it settles and keeps each customer's balance current.

03What changes

Invoices are right the first time, you always know who owes what, and collections start on the due date.

Why advances get missed

An advance arrives before the invoice exists, so it is easy to forget when you finally bill. In MatruOS it stays on the customer's record until it is used.

What MatruOS records

A receipt voucherEach advance gets a numbered receipt voucher with the customer, the amount, the date and the mode of payment.
Credit on the customerUntil it is used, the advance is held as credit for that customer, ready to set against their next invoice.
Set against the invoiceWhen you raise the invoice, you set the advance against it. The invoice shows the balance still due after the advance.
Credit leftOnce the advance is fully used, the credit left on the customer is ₹0, so nothing is counted twice.

For larger order books

When orders are large and advances are common, every advance has its own voucher, so the accounts team can check each customer's unused credit before the next invoice goes out.

How it works

How it goes in MatruOS

Questions

Questions people ask

Can one advance be used on an invoice of a larger amount?

Yes. The advance reduces the balance due on the invoice, and the rest stays due until the customer pays it.

Where can I see advances not yet used?

Each advance shows the credit still left on it. Once it has been fully set against invoices, the credit left is ₹0.

Is GST charged on the advance?

That depends on what you supply, goods or services, and on the rules in force. Ask your CA what applies to you. This is general information; take tax advice for your own case.
