Stock and buying, kept in step with every sale

Each movement of goods is recorded once, when you buy, receive, transfer or sell, so the quantity on screen matches the quantity in the godown.

ProductStock

Order, receive, match the bill and see what is on hand, item by item.

  1. 01Buying, step by step
  2. 02Stock that follows the paperwork
  3. 03Rejections and short supply

What this solves

Stock is where working capital disappears

01Today

Excess of slow items, shortages of fast ones, materials lost between godowns and production, and counts that never match.

02In MatruOS

Stock holds items, godowns, buying, goods received, production, quality, job work and transfers, updated by every sale and purchase.

03What changes

You see what you hold, where, and what it is worth at cost, and reorder before a stock-out stops a line.

Buying, step by step

Purchase orderRaise a PO to the supplier with items, quantities and rates.
ApprovalThe PO waits for approval before it is sent, so nobody can order in the business's name without a second look.
Goods receivedRecord what arrived against each line, with received and rejected quantities kept apart.
3-way matchThe supplier's bill is checked against the PO and the goods received before you pay it.

Stock that follows the paperwork

Goods received add to stock and invoices take from it. Receive 50 and sell 10, and both the item page and the Ask box show 40.

Rejections and short supply

Say 500 arrive and you reject 20. Only the 480 you accepted go into stock, and if the supplier then bills for 500, the three-way match flags the difference.

How it works

How it goes in MatruOS

  1. Raise the POPick the supplier and items. Rates and HSN come from the item.
  2. Approve and sendThe PO is approved, then sent to the supplier.
  3. Receive the goodsEnter received and rejected quantities per line. Stock goes up by what you accepted.
  4. Match and payEnter the supplier bill, check it against the PO and receipt, and record the payment.

Questions

Questions people ask

Does a sale reduce stock automatically?

Yes. Saving an invoice takes the goods out of stock, whether you made it on the form or from a sentence in the Ask box.

What happens to rejected goods?

They are recorded on the goods received line and kept out of stock on hand. The 3-way match then shows them against the supplier's bill.

Can I ask for stock in plain words?

Yes. Type something like "stock of submersible pumps?" in the Ask box and you get the quantity on hand.
