For the purchase team: orders, receipts and supplier bills on one record

Each purchase goes through four recorded steps: order, receive, match and pay. You pay only for what you accepted.

RolesPurchase

Raise the PO, get it approved, receive the goods and match the bill.

  3. 03Supplier records that stay clean

What this solves

Purchase and stores carry the most room for leakage

01Today

Unapproved orders, short receipts and stock moved without records cost more than most businesses realise.

02In MatruOS

Purchase and stores staff raise orders within limits, receive goods against them and move stock between godowns with every step recorded.

03What changes

You pay only for what was ordered and received, and stock is accounted for at every location.

What the purchase team does in MatruOS

Raises purchase ordersSupplier, items, quantities and rates, ready for approval.
Gets approvalThe PO waits for approval, then is sent to the supplier.
Matches the billThe supplier's bill is checked against the PO and the goods received.
Keeps supplier recordsEach supplier's page holds documents, balance, payments and timeline.

Short and rejected supply

Say you order 2,500 kg and accept 2,450 kg after rejecting 50 kg. If the supplier bills for 2,500 kg, the three-way match shows the 50 kg gap before you pay.

Supplier records that stay clean

Each supplier is added once. The duplicate warning shows when a supplier seems to be on file already, so their bills and payments stay on one record.
