Buy and stock

Three-way match before you pay a supplier

The bill, the order and the goods received are already linked, so checking a bill takes about a minute.

FeaturesThree-way match

The bill, the order and the goods received, side by side before you pay.

  1. 01The three documents
  2. 02What the match catches
  3. 03A check that grows with you

What this solves

Purchase and stock errors tie up cash and stop production

01Today

Orders raised without approval, goods received short or rejected without a record, supplier bills paid before they are checked, and stock figures nobody trusts.

02In MatruOS

MatruOS takes each purchase from order to goods received to the supplier bill, matches the three, and keeps stock by item and godown from every movement.

03What changes

You pay only for what was ordered and received, and stock on screen matches the shelf.

The three documents

Purchase orderWhat you agreed to buy: item, quantity, rate and tax. Approved before it went out.
Goods receivedWhat actually arrived, line by line, with received and rejected quantities.
Supplier billWhat the supplier is asking you to pay, with their bill number, such as SSD/1234.
The matchMatruOS puts the bill against the order and the receipt, so quantity and rate can be compared on one screen.

What the match catches

Most overpayment comes from a bill for more units than arrived, or at a higher rate than agreed. Each case looks small, but over a year it adds up.

A check that grows with you

Your accounts team makes the same check the owner would, and the owner sees only the bills that need a decision.

How it works

How it goes in MatruOS

  1. Record the supplier's billEnter the bill against the purchase order it belongs to.
  2. Review the matchSee the bill beside the order and the goods received.
  3. Resolve any gapAsk the supplier for a revised bill or a credit note where the figures differ.
  4. Pay the supplierRecord the payment once the bill is cleared.

Questions

Questions people ask

Is three-way match only for large companies?

No. Any business that buys on credit and pays later gains from it. In a small team it matters even more, because often nobody else looks at the bill before it is paid.

What if the bill differs from the order?

The difference is visible when the bill is matched. You decide whether to pay, hold the bill or ask the supplier to correct it.

Do I have to raise a purchase order for every purchase?

The match needs an order and a receipt to compare against. For regular buying from suppliers on credit, raising the order is the habit that makes the check possible.
