Buy and stock

Purchase orders, approved first

A purchase order puts the quantity, rate and approval in writing before the supplier dispatches.

FeaturesPurchase orders

Raise, approve and send a purchase order, then receive the goods against it.

What this solves

Purchase and stock errors tie up cash and stop production

01Today

Orders raised without approval, goods received short or rejected without a record, supplier bills paid before they are checked, and stock figures nobody trusts.

02In MatruOS

MatruOS takes each purchase from order to goods received to the supplier bill, matches the three, and keeps stock by item and godown from every movement.

03What changes

You pay only for what was ordered and received, and stock on screen matches the shelf.

Why the order should come before the bill

Without a written order, the supplier's bill becomes the only record of what was agreed, and any dispute starts from their version.

What a purchase order carries

Supplier and itemsPick the supplier and add each item with quantity and rate. Their GSTIN and state come from the supplier's record.
Tax worked outGST is worked out on each line, with CGST and SGST or IGST depending on the supplier's state.
An approval stepThe order is approved before it is sent, so a second person can review the quantities and rates first.
Linked to what followsGoods received and the supplier's bill are recorded against the same order, line by line.

As the purchase team grows

In a small firm, the owner raises and approves every order. Once a purchase executive starts buying, the approval step keeps the owner in each decision without placing every order personally.

How it works

How it goes in MatruOS

  1. Raise the orderChoose the supplier, add items with quantities and rates.

  3. Send itSend the approved order to the supplier.
  4. Receive the goodsWhen the delivery arrives, record what was received and what was rejected on each line.

Questions

Questions people ask

What happens after the goods arrive?

You record the goods received against the order, with received and rejected quantities per line. The supplier's bill is then matched to the order and the goods received. See goods received and supplier bills.

Does the purchase order change my stock?

No. Stock goes up when the goods are received. The order records what you expect to receive.

Can I raise an order for a supplier I have not added yet?

Add the supplier first, with their GSTIN and address, then raise the order. MatruOS warns you if the supplier looks like one you already have.
